We provide state-of-the-art digital voice equipment for dictation. We also transcribe from three sizes of cassette tape. Why use digital voice? First, it's available 24 hours a day, 365 days a year from any telephone. Second, as soon as you hang up the phone, the dictation is available on our system for transcription (no delay in transporting tapes and no lost or damaged tapes). Third, the voice quality is unsurpassed by even the highest quality magnetic tape. Tapes are erased at your option. We understand that physicians need hand-held recorders for a variety of reasons such as the freedom to dictate from any place even where no phone exists. And not every clinic can guarantee a phone will be available for dictation needs. We recommend, however, using the telephone and our digital voice system.

ProTranscription has its own courier to deliver your work and pick up your supplies and tapes. Transcription is transported in large, zippered vinyl envelopes to assure the work arrives clean and neat. You can arrange for an unattended drop off point to facilitate pickups if your office is closed. There is never a charge for pickup or delivery. ProTranscription is located in Mesa in the eastern part of the Valley. Our service routes extend across all of the eastern Valley and most of Phoenix. Delivery via U.S. Mail , U.P.S. and/or electronic (FTP, EMail) is also available for areas not serviced by our courier.

We use only Hewlett Packard printers. At 600 DPI, printing is always sharp and clear. For adhesive progress notes destined for patient charts, we use Epson 24-pin impact printers. If you must have laser printed adhesive paper, we can supply it.

ProTranscription can deliver your transcription in several ways without actually printing the work. First, we can send the transcription to a FAX machine. That's a low-tech method which generally produces less than letter quality results at your end. But if you're in a hurry, FAX works. Second, we can deliver work directly to a remote printer, i.e., we'll electronically print the work on your printer at your site. Third, we can transmit the transcription to another computer with a modem. You can then edit and/or print the transcription yourself. We can even send the transcription to an Internet Email or FTP address. If we transmit the work to an Email address or a computer, we send you the actual word processor file. Getting the word processor file allows you to make changes at your site without the delay and expense of asking us to do it. Also, if you have the word processor file, you can archive your transcription as long as you like or even transmit it to someone else! Formats for any of the popular PC word processors can be accommodated.

ProTranscription's rates are fair and competitive. You might find transcription for less cost, but will you get the same level of service, quality, dependability and commitment? ProTranscription is a long established and reputable business. We wouldn't be Arizona's oldest medical transcription service unless we were very good at what we do. You're a high volume client? ProTranscription offers attractive volume discounts unmatchable by independents.

Your transcription needs may include the preparation of forms or the use of templates. We have several clients for whom we've designed "fill-in-the-blank" type forms. These forms have preprinted sections, headings and data names, and are printed for us by a professional printer (the guys with the aprons, not the noisy gadget hooked to the computer). For less rigorous needs, we can follow transcribing scripts and use predesigned templates so that your transcription always has the same appearance vis. headings, bolding, fonts, information location, rulings, etc.

All transcription is retained for six months. During that time you can retrieve a document, make changes to it or reprint it. There is no fee for archiving your work. If you prefer, we can archive your transcription forever. For clients with extremely sensitive dictation, we can forgo archiving so there's no off-site copy. There's a small fee associated with archiving transcription beyond the free six month period. Only someone you identify to us can authorize a retrieval or reprint. If we get a request to reprint and/or FAX something you dictated and the request comes from someone we believe is unauthorized, we will not honor the request, and you'll be notified about the attempt. Confidentiality is a paramount business consideration.

Dictation available in our office before 12 noon of the business day is transcribed for return the following business day morning. Dictation available to us after 12 noon is transcribed for delivery the afternoon of the following business day or the day following. That doesn't mean we'll purposefully postpone anything if we can get it back to you the next business day. The location of your office vis. our delivery routes also has a bearing on delivery time. You need it RIGHT NOW? No problem. We're prepared for STAT requests so you can get that vital document ASAP. STAT service turnaround is typically 2 hours. There is a small fee associated with STAT rapid response. It's nice to know your medical transcription service can accommodate a STAT need. Just a phone call to our office sets us in action to service your STAT.

All transcription is spell checked with automated medical spelling dictionaries. The medical dictionaries are routinely updated with new drug names, medical procedures, etc. All work is examined for format and proofread by two people and, on occasion, by three. We take great care to assure both you and ourselves that the work leaving our office is accurate. Accurate also means intelligible and sensible. If English is not your primary language, you can give us the liberty to apply our language skills to your work. If your transcription needs require it, we will adjust grammatical usage. We will, of course, transcribe literally and verbatim if that's your need.

ProTranscription has developed an automated provider database which includes the name and address of every physician licensed to practice in Arizona. Every M.D., every D.O., every hospital and clinic. The database also includes names and addresses of most O.D.s, P.A.s, R.N.s, F.N.P.s, etc. It includes multiple addresses where providers practice at several locations. We update the database no less than weekly with input from the Arizona licensing agencies and our clients. Using the database to generate an envelope or an addressee on a letter gives you the highest assurance that you're not wasting your postage with out-of-date addresses.

We believe that your monthly invoice should be easy to understand and communicate useful info that supports your business needs. To that end, we've developed a billing system that can accommodate not only the single provider, but also clinics and larger medical groups. If you operate a clinic with several providers, we can detail charges by each individual provider at the clinic. If you prefer, you can request a simple invoice that omits provider details. For larger groups that have many clinics at different physical locations, the invoice can itemize charges by individual provider, by each clinic or an overall summary or any combination of those. Billing statistics down to the patient level can be provided. The choice of how detailed the invoice will be is yours. In every case, the invoice clearly shows your account status entering the billing period, the new activity and charges, and the final account status for the billing period.
