Awards Program Handbook
January 8, 2004 (as amended February 2009)
OVERVIEW. The current National NDTA Awards Program Handbook, revised: April 2005, lists 11 categories of awards. The purpose, criteria, and entry procedures are listed in the handbook. The awards are:
International Chapter of the Year
International A-35 Chapter of the Year
National Transportation Award (Senior Executive)
DOD Distinguished Service Award (Senior Executive) (#)
Distinguished Government Service Award (Senior Executive) (#)
NDTA President’s Award (Major Critical Transportation Issue)
NDTA President’s Special Achievement Award (not nominative)
NDTA Junior Executive Leadership Award (age 35 or below) (submitted through Regional President) (#)

NDTA Special Achievement Award (#)
Educators Distinguished Service Awards (submitted through military service)

PURPOSE. The National Handbook is hereby supplemented with this local guidance to recognize the dedication, professionalism, and support of transporters in the San Antonio Chapter who take the “extra step” throughout the year to support the objectives of the NDTA. In addition to the hatch mark items (#) in paragraph 1, there are six San Antonio NDTA award categories:
Transportation Woman of the Year- Government
Transportation Man of the Year- Government
Transportation Woman of the Year- Industry
Transportation Man of the Year- Industry
Transportation Lifetime Achievement- Government
Transportation Lifetime Achievement- Industry
CRITERIA. The following criteria pertain:
Transportation Man/ Woman, Government/ Industry (4 categories) of the Year Award.
i. Individuals nominated must be presently employed in traffic or transportation, located in or based in San Antonio, TX. Include the category in the heading, either government or industry, for which the individual is being nominated (see attachment 1).
ii. Entries must reach the Awards Committee by the suspense date.
iii. The following items should be considered when preparing the nomination: contributions made by the individual to the company or organization where they work; nominee participation in community activities; any NDTA chapter involvement and, what have they contributed?
iv. There will be one winner annually in each category (4 awards).
v. The Awards Committee chairman will notify the nominators before the appropriate Awards ceremony. The nominator will advise the nominee of the outcome.
Transportation Lifetime Achievement- Government/ Industry.
i. Individuals nominated must be presently employed in traffic or transportation, located or based in San Antonio, TX. Include the category in the heading, either government or industry, for which the individual is nominated (see enclosure 1, attachment 1).
ii. The nominee must have been employed in traffic or transportation for a minimum of 20 years. Years of service need not be continuous or with the same company, but only those years actually in traffic or transportation will be considered.
iii. Entries must reach the Awards Committee by the suspense date.
iv. The following items should be considered in the nomination: contributions made in the field of transportation during their career; any NDTA chapter involvement; and contributions made by the nominee to the company or organization where they work.
v. There will be one winner annually in each category (2 awards).
vi. The Awards Committee chairman will notify the nominators before the appropriate awards ceremony. The nominator will advise the nominee of the outcome.
PROCEDURES.
The Awards Committee Chairperson (appointed by the San Antonio Chapter President, approved by the Chapter Board of Directors [BOD]), referred to in this handbook as “The Chair” is responsible for the overall awards program. The Chair will implement the procedures outlined herein.
The Chair will form a committee to serve as reviewing officials.
In the January/ February timeframe each year, the Chair will issue the “First Call” for awards to the BOD. Its purpose is to alert the BOD to begin to focus on this important aspect of Chapter activities, i.e. the recognition of deserving individuals.
In March, the Chair will issue the “Second Call” to the BOD. At the same time, he/ she will provide a letter similar to enclosure 1 to the San Antonio Chapter Webmaster and the Chapter Secretary for publication to the membership. The letter will specify submission requirements, to include a suspense date.
In mid-April, if required, the “Third Call” will be issued.
By 1 May, submissions should have been received, since the target date for presentation is normally mid-May at the local National Transportation Week festivities. The actual presentation date is flexible, dependent on pertinent circumstances, subject to the BOD review/ decision.
The Chair will convene the committee to review the nominations. At this stage in the process, all nominations will be in email format. If, in the opinion of the Award Committee, a submission (s) to National Headquarters is in order (see paragraph 1 above, hatch mark identified items), the Chair will coordinate with the nominating official for hard-copy, signature- affixed documents. Since the suspense date for these submissions to NDTA National Headquarters is 15 May, aggressive action may be necessary to meet these timelines.
Once the committee decides on the winners, the names will be provided to the Chapter President for review. At the President’s discretion, the BOD will be apprised of the selections for final approval by the BOD.
After the BOD issues its final approval, the Chair will inform all nominators of the selections, coupled with the appreciation from the BOD for the effort involved. Nominators will inform their nominees.
The Chair will submit requirements to the appropriate trophy shop and coordinate the details regarding plaque engraving, timelines, etc.
The Chair, or other person so delegated, will prepare individual citations and a “bullet point” summary of each nominee’s contributions to the transportation mission, in the format outlined in enclosure 2. This may be used by the President or other appointed BOD member in the presentation of the awards at the appropriate ceremony. The President or BOD may make adjustments to the presentation criteria as deemed necessary.
Subsequent to the awards ceremony, the Chair will prepare an input to the standardized matrix outlining nominees for previous years. This will be furnished to the Chapter Webmaster and Secretary for data input into the current matrix and publishing on the webpage for membership review and historical perspective.
SUMMARY. The Awards program is extremely important for the San Antonio Chapter. The procedures outlined herein should further the goal of recognizing deserving members.

National Transportation Week is observed during the month of May. It is during this time each year that we recognize the importance of transportation and the millions of Americans who work to meet our Transportation goals.
One way the San Antonio Chapter has chosen to celebrate National Transportation Week is to recognize the dedication, professionalism, and support of those transporters who take that “extra step” throughout the year. As we noted in our previous “Calls” for awards, we ask you to nominate those your feel deserve this honor, in six award categories:
· Transportation Woman of the Year- Government
· Transportation Man of the Year- Government
· Transportation Woman of the Year- Industry
· Transportation Man of the Year- Industry
· Transportation Lifetime Achievement- Government
· Transportation Lifetime Achievement- Industry
Attached are criteria that must be met to be eligible for
the awards. Submit your nomination
package via email, using Microsoft Word format as if on bond paper,
single-spaced with double spacing between paragraphs, not to exceed two
typewritten pages. Use the detailed
specifications reflected on attachment 3. Each
nomination should include the name, email address, and telephone number of the
nominator.

Your support and participation in nominating deserving transporters is appreciated. The Awards Committee must receive all nominations not later than April 27, 2009 at the indicated email address below. The committee will review the nominations and select winners to be announced by the Chapter President at a Board of Directors approved venue to be held during the month of May. The Awards Committee Chairperson will notify the nominator prior to the Awards Ceremony. Awards submitted for the National level will be submitted to HQ NDTA, at the discretion of the San Antonio Chapter President.

CRITERIA
Individuals nominated must be presently employed in traffic or transportation, located or based in San Antonio, TX. Include the category (government or industry) for which the individual is nominated in the heading (encl 1, atch 3).
The nominated individual must have served or been employed in traffic or transportation for a minimum of 20 years. Years of service need not be continuous or with the same organization, but only those years they actually served in transportation will be considered.

the record, each citation begins with the words “distinguished themselves in
the performance of outstanding service to their unit/ business and to the
National Defense Transportation Association…” and ends with words to the
effect that “their performance reflects great credit upon themselves, their
unit/ business, and the NDTA”.

are not going to read that for each citation, nor will we read the entire
citation. Our intent at this award ceremony is to recognize the recipient and
their nominator, and highlight THREE major points from the citation itself-
enough so we understand the individual’s contribution.
In
the interest of time management, we do not expect the award winners or nominees
to address the group. Chapter members and attendees know that those recognized
appreciate the consideration, and everyone is grateful for the service that
garnered the award.
