Section I (Standard Entry Procedures) GUESTS
1.
ALL GUESTS MUST SHOW I.D. AND
GUARD MUST LOG GUEST NAME AND VEHICLE TAG NUMBER INTO THE COMPUTER!
2.
Request I.D. and the name of the resident they are visiting.
3.
If the visitor is on the permanent or temporary guest list,
verify their I.D., log their tag number and allow entry.
4.
If the guest is not on the permanent or temporary guest list
call the resident to approve the guest’s entry.
5.
If the guest is not on the permanent or temporary guest list
and the resident is not home, the visitor(s) cannot be admitted.
6.
Responsible members of the household are permitted to clear
entry of visitors onto the property. Homeowners only may
choose to pre-clear a visitor on a certain date (temporary guest
list), or by calling Benchmark Property Management add that person(s)
to the permanent guest list.
7.
Pedestrians and bicyclists are to be treated the same as any
other vehicle.
8.
If a resident should pull in and show I.D. and say, “the car
behind me is my guest, let them in”. The guest should be logged
into the computer just like any other guest, with the exception
of calling the house for confirmation, as the confirmation was given
in person.

If a resident is the passenger of a car both the resident
and the driver must show I.D. with the driver or guest being treated
as any other guest. (i.e., log guests name and tag number into the

LIST Homeowners
can place their guest on the permanent guest list by calling Benchmark
Property Management, Inc. and advising them of the names to be placed
on the list. The guard is not authorized to accept this information.
The only persons on this list should be:

Family members with a key but not living at this residence.
·
Friends that have a key to the residence.
·
Service personnel with a key for inside work.
·
Service personnel without a key for outside work. TEMPORARY GUEST
LIST Any homeowner
may place a guest on the temporary guest list by calling the guard
house from their home phone or providing their security code as
identification to the guard. This is typically a guest that is staying
or visiting for between one and five days. If the resident
is having a party, please ask for the guest list to be signed and
delivered to the gate house by an adult owner of the residence and
must give the security code or ID as identification.
If the party exceeds ten visitors, call the Coral Springs
Police Dept. and request an area patrol. Section II (Vendors) NON-EMERGENCY SERVICE

Estates requires all vendors and/or service personnel in commercial
vehicles to have their company name and phone number on their vehicle.

Management are to be listed on the permanent guest list of Vendors

are to adhere to the same hours and rules as any other non-emergency
service personnel. REAL ESTATE AGENTS Real estate
agents may enter the property after showing their business card
and matching proper I.D. to the guard and log them into the home
address to which they are visiting. They may
not erect signs of any kind at the home or at the front entrance. During an
“open house”, the agent must be at the residence through its entirety.
The guard is to call the agent for each visitor. Visitors shall
be treated as any other guest on the premises and logged into the
home as a guest. No “drive-by’s” will be allowed to enter without an agent with
them. Section III (General Information) MISCELLANEOUS Your appearance
should neat and professional with company I.D. or nametag visible
and please do not put your feet on the desk. You should
stand at the gate house and be visible when residents or guest arrive.
Be seen and offer a professional wave or greeting. Do not become
too familiar with the residents, or engage them in personal conversations.
You are an on-duty officer and must adhere to procedures and principles
while maintaining professionalism. Resident
names, addresses, telephone numbers and pin numbers are strictly
confidential and are not to be given out by security personnel. The guard
will not allow entrance to anyone for the purpose of solicitation. The gate
house is for employees of the Security Company, Benchmark Property
Management personnel and board members only. Any request
by residents to the guard must be made from the entrance guest lane
to avoid unnecessary distractions. The guard’s
personal vehicle is to be parked in the designated parking spaces
only. MISCELLANEOUS (CONTINUED)
In the event
that the gate arms are knocked down or disconnected for service,
the arm should be replaced at shift change or during the “Field
Training Officers” drive through rounds. Benchmark Property Management
should be notified when the arm nut supply drops below five. During brief
usage of the restroom, the guard will post a “back in 5 minutes”
sign in the guardhouse window. In the event
of any unauthorized entry, the guard shall call the City of Coral
Springs Police Department with a description of the intruder or
intruder’s vehicle and report them as a trespasser. Any questions
regarding post orders should be addressed to your immediate supervisor. |
