BOARD OF DIRECTORS MEETING

At 6:00, the BoD meeting was called to order by Tom Base

 

The minutes of the January 27th BoD meeting were reviewed and approved 3/3

 

Tom Base gave his President's report with a review of the 2004 issues and budget. Please see the January minutes for details

 

More than 20 homeowners were present to volunteer these Good and Welfare discussion topics:

Þ       A homeowner, who is a property manager, volunteered to supply names of landscape contractors

Þ       Improved neighborhood lighting

Þ       Many HO lamp post lights are out

Þ       Posting the Minutes on the website

Þ       Fortress patrol without flashing lights

Þ       Fortress should stop entry from walkers and cyclists

Þ       Is the HO or the purp responsible for parking or speeding violations

Þ       Can left turns onto Wiles be improved?

Þ       Dog offenses of noise and litter should be reported to 344-1800

Þ       Bids on HOA work is based on specs, sealed bids, lowest bid

Þ       A landscaping spec should be developed and rebid

Þ       Speeding

Þ       Overnight parking and passes

Þ       Timing of the assessment increase

Þ       BoD meeting agenda should be published ahead of time

Þ       Landscaping of HO residences

Þ       Approval of a new roof

Þ       Change the meeting to 7:00

Þ       Pressure washing on Sunday

Þ       Lake safety and liability

Þ       Email HOA news to HO's; Email addresses are needed

Þ       Truck entry on Sundays

Þ       Service trucks should not be parked in the neighborhood

Þ       There are 41 basketball hoops in our neighborhood

Þ       Prohibition of garage sales should be added to the Rules & Regs

Þ       The late fee process; authorization to levy fines; consistent application


 

The Treasure's report was reviewed:

Þ       Cash on hand operating $42,733

Þ       Reserves at Amtrust Bank $24,977

Þ       Homeowners past due assessments 7 (3%)

Þ       Past due assessments $4,979

Þ       Homeowners past due with late fees & fines 17

Þ       Fines & late fees owed $636

Þ       Expenses for January 2004:

§         Insurance prepaid:    $5,280

§         General repairs of speed bumps $7,943

Þ       The BoD is waiting for year-end audited financial statements for 2003

 

The Legal report showed

Þ       One foreclosure letter sent in February for March 15th compliance

Þ       A repayment plan was accepted by the BoD 3/3

 

Property management report discussions included

Þ       Detailed violation status was given. For issued violations, all either complied or requested an extension so none have gone to the Grievance committee

Þ       Speed bumps should be painted white

Þ       A licensed and insured handyman is needed for the Guardhouse repairs

 

The Crime Statistics showed no crimes in HHE since July 2001

 

Old Business

Þ       The amended Bylaws were approved 3/3. These will be recorded, put on the website, and mailed to HO's

Þ       Mailboxes will be inspected to the new standards at the next inspection

 

New Business

Þ       The next newsletter should include solicitations to join committees for Welcoming, Newsletter, Social, and Website

Þ       The lake water level was discussed
